Your registration must hold the correct details for the individuals listed

4 October 2017

On 4 October 2017 you should have received the below information in an email – if you have not received this email notification you should update your email address through Maintain my Registration.

It is a requirement that your registration holds the correct details for the individuals listed. This includes your full legal name. If a trader has not listed their full legal name this can cause delays in the processing of your application or renewal. This update contains some tips on how to get it right the first time.

What names do I need to use when registering/renewing my registration as a motor vehicle trader?

You need to use the full legal name of individuals listed on the application:

  • For an individual application this means your full name (as per your birth certificate or passport), including any middle names.
  • For a company application this means the full names of all directors listed on the Companies Office along with the CEO's name. The full name should be as per their birth certificate or passport and should include any middle names.
  • Please note: We check the full names against any records held by the Companies Office, and your application will not be processed if it doesn't match up with those records.

Please make sure you have listed all individuals' names correctly (including checking spelling and any punctuation) before submitting your application.

If you provide an incorrect name, the application won't be processed and further information may be required. This may mean you need to submit a new application and pay a new registration fee.

Examples of using the correct/incorrect name

John is a motor vehicle trader (he does not work through a company). John's legal name (stated on his passport) is John Albert Smith-Jones. This is the exact legal name he should use in the application including the middle name. If he applies for registration under any other name, it would be incorrect (for example, John Smith Jones, John Smith-Jones, or John Jones would all be incorrect).
