Renew your registration

Registered motor vehicle traders must renew their registration every year. This renewal must be completed before registration expires.

The renewal process

We will send you a renewal reminder 20 working days before the expiry date on your registration certificate. This reminder will be sent to the email address for service listed in your registration details.

You can renew your registration by logging into our Motor Vehicle Traders Register (MVTR) online services and completing a renewal application. Your login profile must have access to the registration you wish to renew.

Set up a login profile with us

We recommend that you start your renewal as early as possible, especially if your company has had any changes to its directors or management. This gives you plenty of time to set up a login profile or gather information relevant to your renewal.

The most important step in the renewal application is to check your details. This includes checking that your company and contact details are up to date. If your information is not up to date, you may encounter issues when we process your renewal application.

Make sure that your current email address is correct so you can receive important messages about your registration and renewal.

Renewal fee

We charge an annual fee to renew a motor vehicle trader registration. These fees will depend on whether your registration is for a company or for an individual. Fees are inclusive of GST and the Motor Vehicle Disputes Tribunal levy.

Fees

Make sure you have your credit or debit card when you complete your renewal application, because you will need to pay the renewal fee during this process. We accept Visa, MasterCard, Diners or American Express cards.

The renewal fee, including the levy, is not refundable and cannot be transferred.

What happens if you do not renew on time

If you do not apply to renew your registration before your current expiry date, your registration will automatically expire.

If you continue to operate as a motor vehicle trader while your registration has expired, you will be in breach of the Motor Vehicle Sales Act 2003 and will be liable for prosecution.

Offences and penalties

If your registration has expired and you wish to continue trading, you will need to reapply for registration and pay a new application fee.

Renew your registration now

You must submit your renewal application before your current registration expires.

We recommend that you submit your renewal application at least 5 working days prior to your registration expiry date. This is to allow for processing and approval. For example, if your expiry date is 1 July 2025, you should submit your renewal application by 24 June 2025.

Please check that all required information is included in your submitted application to avoid any delays in processing. If a submitted application is incomplete, it may be refused, and your registration will expire.

Save and resume your application

You can save your application at any time by clicking the Save and Exit button. Our online services will keep a record of your saved application for a maximum of 90 days, or until you resume and submit your application – whichever comes first.

To resume a saved application:

  • Log into the MVTR online services portal. This will bring you to your Dashboard.
  • Select the Things in Progress tab.
  • Select the saved application you would like to continue.

Renew your company registration

Information we need from you

We will ask you to confirm your company’s details as part of your application for renewal. This will include your company’s trading name, New Zealand Business Number (NZBN) details, addresses and contact information. You will also need to provide your New Zealand Transport Agency (NZTA) customer number.

Because your application form will retrieve and use data from the NZBN Register, you must make sure that your company’s information on the NZBN Register is correct. If not, you will need to update your information via the Companies Register first.

We will also ask you to confirm the details for all people involved in the management of the business. We will provide you with statutory declaration forms for the relevant people to complete if:

  • You are changing the name of one of your company’s role holders.
  • You are changing the date of birth of one of your company’s role holders.
  • You are adding a new role holder for your company.

If you are adding a new role holder, we will also ask you to provide a certified copy of an identity document for them (such as a driver licence or passport).

Your application must also include a signed certificate of confirmation. This certificate must confirm that:

  • the contents of the application are true and correct, and
  • no person listed in the application is a disqualified person in their own right.

The certificate can be downloaded for review and signing. This must be completed by one role holder listed in the application.

The information in your application must be accurate. It is an offence to provide a false certificate or statutory declaration with an application.

The Registrar reserves the right to refuse any applications which contain inaccurate or false information. Your renewal fee will not be refunded if we refuse your application. If your registration expires without being renewed, you must stop trading.

Complete and submit your renewal online

To renew your company Motor Vehicle Trader registration:

  1. Log into the MVTR online services portal. This will bring you to your Dashboard.
  2. Under the Things to Do tab, click the View option next to your registration that is due for renewal. This will bring you to a screen that contains the details of that registration.
  3. In your registration details page, click the Renew registration button that appears in your renewal notice. This will bring you to a Renew Motor Vehicle Trader Registration (Company) form.
  4. In the Entity Details page, confirm that your company’s details are correct. When you have finished, click the Continue button.
    1. You can click the Retrieve NZBN Details button to update your company’s details from the NZBN Register.
    2. If your company’s trading name(s) or NZTA customer number(s) have changed, you can remove your old designations and add the new ones.
  5. In the Addresses page, confirm that your company’s address and contact information are correct. When you have finished, click the Continue button.
    1. You can edit any address or contact details that have changed. Note that you cannot change the registered address on this page, as this is based on your company’s information in the NZBN Register.
  6. In the Role Holder(s) Details page, confirm that your company’s role holders are correct. When you have finished, click the Continue button.
    1. The directors listed on this page are based on your company’s information in the NZBN Register. Under the Actions option, you can click Edit Role Holder to review or add more detailed information for these directors.
    2. You cannot change your company directors’ names and residential addresses. If these are incorrect, you will need to change these in the Companies Register first.
  7. In the Statutory Declaration Form(s) page, download and complete any required statutory declaration forms or certificates of confirmation. Once you have uploaded all completed and signed forms, click the Continue button.
    1. If you have made no changes to your company’s details, or if none of your changes require a statutory declaration, this page will advise that you are not required to complete any statutory declarations.
    2. You will still need to provide a completed certificate of confirmation even if you are not required to complete any statutory declarations.
    3. We recommend that you download copies of all statutory declaration forms, then save and exit your application. You can resume your application when you have completed and signed your copies.
    4. For each role holder, you can download a copy of the statutory declaration form by clicking the Edit option in that role holder’s entry, then clicking the Download Statutory Declaration Form button.
    5. You can upload completed statutory declarations by clicking the Edit option in that role holder’s entry, then using the Upload signed declaration area.
  8. In the Review and Submit page, confirm that all of your company details are correct, and tick the declaration boxes. When you have finished, click the Submit button.
    1. If you need to change any details, click the Edit button next to the information you need to revise.
  9. In the payment screen, review your application fees and click the Process Payment button to enter and submit your credit card payment details.
    1. In the Tax Invoice Details section, you can click the Change Details button to change the name and address listed on your tax invoice, as well as the email to which this invoice will be sent.
    2. Once your payment has completed successfully, your credit card will be charged and an invoice will be sent to the given email address. Click the Complete Transaction button to exit the payment screen.
  10. Once your payment has gone through, you will see a message saying that your application for renewal has been successfully filed.

Completing the statutory declaration form(s) and certifying identity document(s)

As part of your application for renewal, you may need to download statutory declaration forms for your company’s role holders to complete. These forms are where your role holders declare that they are not disqualified from registration as a motor vehicle trader under sections 24 or 25 of the Motor Vehicle Sales Act 2003.

Each statutory declaration form will include the full legal name of the role holder (as displayed on the identity document provided with the application) and must be signed in front of an authorised witness (a solicitor, Justice of the Peace or other person authorised to take a statutory declaration under the Oaths and Declarations Act 1957).

If you are adding new role holders, you need to provide a certified copy of an identity document for each of them with the application. The authorised witness for a statutory declaration can also certify a role holder’s identity document.

Other options may be available for role holders who are making declarations from outside New Zealand. You can provide an overseas director certificate instead of a statutory declaration if you meet all of the following criteria:

  • you are a director of a New Zealand company
  • your company is already a registered motor vehicle trader
  • you spend less than 300 days each calendar year in New Zealand
  • you were not concerned in the management of the company at the time the company last applied for registration or renewal of registration under the MVSA
  • no more than three directors have provided overseas director certificates instead of statutory declarations.

If you do not meet these criteria, you will need to complete a statutory declaration.

Making declarations outside New Zealand

Renew your individual registration

Information we need from you

We will ask you to confirm your details as part of your application for renewal. This will include your name, addresses and contact information. You will also need to provide your New Zealand Transport Agency (NZTA) customer number.

We will also ask you to provide a certified copy of an identity document (such as a driver licence or passport).

If you change your name or date of birth as part of your application, we will provide you with a statutory declaration form that you must complete.

The information in your application must be accurate. It is an offence to provide a false document or statutory declaration with an application.

The Registrar reserves the right to refuse any applications which contain inaccurate or false information. Your application fee will not be refunded if we refuse your application. If your registration expires without being renewed, you must stop trading.

Complete and submit your renewal online

To renew your Individual Motor Vehicle Trader registration:

  1. Log into the MVTR online services portal. This will bring you to your Dashboard.
  2. Under the Things to Do tab, click the View option next to your registration that is due for renewal. This will bring you to a screen that contains the details of that registration.
  3. In your registration details page, click the Renew registration button that appears in your renewal notice. This will bring you to a Maintain Motor Vehicle Trader (Individual) form.
  4. In the Individual Details page, confirm that your details are correct. When you have finished, click the Continue button.
    1. If you have a New Zealand Business Number (NZBN), you can click the Retrieve NZBN Details button to update your details from the NZBN Register.
    2. If the address in the NZBN Register is incorrect, you will need to change this in the NZBN Register before submitting your application for renewal.
  5. In the Addresses page, confirm that your address and contact information are correct. When you have finished, click the Continue button.
    1. You can edit any address or contact details if these have changed.
  6. In the Statutory Declaration Form page, download and complete any required statutory declaration form. Once you have uploaded your completed and signed form, click the Continue button.
    1. If you have made no changes to your details, or if none of your changes require a statutory declaration, this page will advise that you are not required to complete any statutory declarations.
    2. We recommend that you download a copy of your statutory declaration form, then save and exit your application. You can resume your application when you have completed and signed your copy.
    3. You can upload your completed statutory declaration under the Upload signed declaration area.
  7. In the Review and Submit page, confirm that your details are correct, and tick the declaration boxes. When you have finished, click the Submit button.
